Terms & Conditions

These terms and conditions govern your booking with Compass and Footprints Travel ("we", "us", "our"). By making a booking, you agree to these terms.

1. Booking & Payment

Deposit

A 20% deposit is required to secure your place on the trip. Your booking is confirmed only once we receive your deposit.

Balance Payment

The remaining 80% balance is due by 28 March 2026. If payment is not received by this date, we reserve the right to cancel your booking and retain your deposit.

Trip Price

The trip price is $2,999 AUD per person (twin share). Single supplement may apply if you request a private room.

Cancellation & Refund Policy

We understand plans change. Our cancellation policy is as follows:

When you cancel	Refund
More than 90 days before departure	Full refund minus $150 admin fee
60–90 days before departure	50% of total trip cost
30–59 days before departure	25% of total trip cost
Less than 30 days before departure	No refund

Departure date: 25 April 2026

All cancellations must be made in writing via email. We strongly recommend purchasing travel insurance that covers trip cancellation.

2. Minimum Group Size

This trip requires a minimum of 8 travellers to operate. If we do not reach the minimum by 28 March 2026, we may:

Offer you an alternative departure date, or
Cancel the trip and provide a full refund of all amounts paid

We will notify you as early as possible if the trip is at risk of not reaching minimum numbers.

3. Travel Insurance (Mandatory)

You must have comprehensive travel insurance that covers:

Trip cancellation and interruption
Medical expenses and emergency evacuation (including helicopter rescue in Nepal)
Trekking at altitude up to 4,500m
Personal belongings and travel delays

You must provide proof of insurance before departure. We cannot allow you to join the trip without valid insurance.

4. Health & Fitness

This trip involves trekking at altitude (up to ~4,130m at Annapurna Base Camp). You must:

Be in good general health and reasonably fit
Be able to walk 4–7 hours per day on uneven terrain
Disclose any medical conditions that may affect your participation

We reserve the right to exclude anyone whose health or fitness may endanger themselves or the group.

5. Itinerary Changes

We reserve the right to modify the itinerary due to:

Weather conditions
Trail closures or safety concerns
Local regulations or permit issues
Group health or acclimatisation needs

We will always prioritise your safety and aim to provide equivalent experiences where changes are necessary.

6. Our Responsibilities

We will:

Provide the services described in the trip itinerary
Arrange experienced, qualified guides
Handle logistics including accommodation, permits, and transport
Act in your best interests regarding safety decisions

7. Your Responsibilities

You agree to:

Arrive in Kathmandu on 25 April 2026 with valid passport and visa
Follow the guidance of trip leaders and local guides
Behave respectfully toward local people, culture, and environment
Inform us of any health changes before or during the trip
Carry your own valid travel insurance documentation

8. Liability

Compass and Footprints Travel acts as an organiser and coordinator. We are not liable for:

Acts or omissions of third-party suppliers (airlines, hotels, etc.)
Injury, illness, or loss arising from your own actions or pre-existing conditions
Events beyond our control (force majeure)

Our liability is limited to the trip price paid. We strongly recommend travel insurance for additional protection.

9. Force Majeure

We are not liable for failure to perform due to circumstances beyond our control, including but not limited to: natural disasters, pandemics, war, civil unrest, government actions, or travel restrictions.

In such cases, we will work with you to reschedule or provide credit for future trips where possible.

10. Governing Law

These terms are governed by the laws of Australia. Any disputes will be resolved in Australian courts.
